TIME AND RETAINERS

A timer that keeps running when the tab closes, rates per person, project or agency, and retainer packs that warn you at 80% and 100%.
Take the 3-minute tour
IN THE PRODUCT

Start the timer in the top bar and close the tab. It keeps running on the server. Later, Acme's retainer bar reaches 80% and the alert arrives.

  1. 01

    Start the timer

Start it from the top bar on any page. It runs on the server, so closing the tab doesn't stop it.

  2. 02

    Tie it to the work

Each entry links to a task and a project, billable or non-billable. Finished meetings suggest entries to the people who attended.

  3. 03

    Set the rates

Set rates per person, per project or for the whole agency. SmoothOS works out the rate that applies to each entry.

  4. 04

    Watch the packs

Retainers run monthly or quarterly. Unused hours roll over up to a cap, and hours past the pack are billed at the overage rate.

Server-side timer

Visible in the top bar and kept on the server, so a closed tab never loses an hour.

Billable or not

Mark each entry billable or non-billable, linked to its task and project.

Rates at three levels

Person, project or agency. The effective rate for each entry is worked out for you.

Project budgets

Budget a project in minutes, money or both. Alerts arrive at 75% and 100%.

Retainer hour packs

Monthly or quarterly packs. Unused hours roll over up to a cap. Alerts at 80% and 100%, overage at your overage rate.

Balance in the portal

Clients see their retainer balance on a card in their portal, under your name.

What it won't do

It won't let anyone change an approved time entry. Approval locks it. And it won't let a closed tab or a sleeping laptop stop the clock.

No. It runs on the server and stays visible in the top bar, so a closed tab doesn't lose the hour. Finished meetings also suggest time entries to the people who attended.

Partly. The timer, rates, budgets and retainers work today. The approval flow, draft to submitted to approved to invoiced, is built into the system, but the timesheet and approval screens are still being finished.

Set an hour pack for a month or a quarter. Unused hours roll over up to a cap. You get alerts at 80% and 100%, and hours beyond the pack are billed at the overage rate. Clients see the balance in their portal.

Yes, in the system: a period's approved hours turn into one invoice, and approved entries are locked. The screens to run this from the timesheet arrive with the rest of the time interface.
